Contacts is your directory of people. Cases are the counseling situations they are part of.
Add a contact
Click Contacts in the sidebar, then + Add contact .
Choose one or more Contact types (Client, Advocate, Emergency contact, Other).
Enter the First, Middle, and Last name .
If a client is a minor, turn on This client is a minor and fill in the guardian's details. The guardian signs in and manages everything on the child's behalf.
For an adult, enter their Email and Phone . For a client, set Billing (Set rate, or Pay what you can).
Click Add contact .
A contact counts as an active client only while they are in an active case. Use the filter buttons above the list (All, Clients, Advocates, Emergency, Other, No cases) to narrow it down.
Start a case
Click Cases in the sidebar, then + New case .
Give the case a title , tag its focus (like anxiety, marriage, or grief), and add the people and counselors .
Open the case to add churches, set who pays, and add notes and documents.
Inside a case
Open a case for its hub. It shows the people and their roles (client, guardian, advocate), the counselors, churches, billing, focus tags, the appointments with their session notes, case notes, documents, and the status (active, on hold, closed).
An advocate added here can sign in to their own portal and see this case's messages, but not your private case notes or documents.
Changing the status to on hold or closed flows through to the people. A contact drops to inactive when none of their cases are active.
